Trans Caledonia 2026 – Cancellation, Refund & Entry Policy

We understand that life happens. Plans can change, injuries occur, and unexpected events may interfere with your ability to race. However, organising a multi-day enduro race like Trans Caledonia requires significant upfront investment in logistics, accommodation, staff, and planning. For this reason, the following cancellation policy applies:

Payment Overview reminder:

  • £500 deposit due by 23:59 GMT Sunday 15th February 2026 to confirm your place.

  • Final balance due by Saturday 6th May 2026 (4 months before the event).

  • Failure to pay the final balance by this date will result in forfeiting your place.

Refund Policy (if you cancel):

Before April 1st 2026

  • 50% refund of deposit (£250)

  • Your spot will be offered to the waitlist

April 1 – May 6, 2026 (before full balance is due)

  • No refund on deposit

  • If you have paid your full balance, we will refund this (minus the deposit)

May 7 – June 5 2026 (after final balance is paid)

  • 50% refund on full balance

After June 6, 2026 (after final balance is paid)

  • No refunds will be provided

Transfers / Deferrals

  • Entries are not transferable to another rider or future event editions.

Please note that our refund policy is firm and reflects the unique nature of Trans Caledonia. With limited spaces available and complex logistics, it’s essential that every spot is filled. This isn't just a logistical necessity; it's about giving participants enough time to prepare properly for the physical demands of the event. The timelines in our refund policy are designed to encourage thoughtful commitment and to minimise last-minute withdrawals. With that in mind, we strongly recommend that you purchase travel insurance that covers the refund of your entry fee should something prevent you from participating in Trans Caledonia.

Force Majeure / Event Cancellation

Trans Caledonia reserves the right to cancel, postpone, shorten, or modify the event due to circumstances beyond our control, including but not limited to extreme weather, fire risk, flooding, land access restrictions, government or public health restrictions, or any situation that makes the event unsafe or impractical to deliver.

If the event is cancelled before it begins due to force majeure, refunds (if any) will be at the discretion of Trans Caledonia and dependent on costs already committed. A partial refund, deferral, or credit towards a future event may be offered.

If the event has started, or if any individual day(s) or stages are cancelled or modified due to weather or safety reasons, no refunds will be provided. Entry fees will already have been allocated to accommodation, transport, meals, staffing, and operational costs. We will always aim to deliver a rad alternate experience if trail closures or stage changes are required.

Accident and Cancellation Insurance

All riders must have comprehensive accident / injury insurance.

We have a strict cancellation policy and we therefore strongly recommend you purchase travel insurance that covers the refund of your entry fee should something prevent you from participating in Trans Caledonia.

Participant Entry & Responsibility

By entering Trans Caledonia 2026, you confirm that:

  • You are at least 18 years old.

  • You are technically proficient riding black technical graded trails and have a good level of fitness to complete six big days on your bike (+1500m ascending / 2000m descending / 6-8hrs).

  • You accept all inherent risks associated with participating, including injury, illness, property damage, travel incidents, and adverse weather.

  • You take full personal responsibility for your own safety and agree to follow all safety instructions.

  • You have comprehensive accident/injury insurance covering participation in the event.

  • You have been strongly recommended to obtain travel insurance covering entry fees and other risks.

  • You release, waive, and discharge Trans Caledonia LLP, its officers, staff, volunteers, contractors, sponsors, and agents from any liability for injury, loss, damage, or death arising from participation in the event.

  • You agree to indemnify and hold harmless Trans Caledonia LLP, its officers, staff, volunteers, contractors, sponsors, and agents from any claims, demands, or actions brought by yourself, your family, or any third party arising out of your participation.

  • Participation is voluntary and you are solely responsible for evaluating your own ability to safely complete the event.
